Our uniquely congenial firm is looking for a Legal Assistant/Secretary who is hard working and committed to the long-term growth of our practice.
This position provides critical support for multiple attorneys, including typing, editing and formatting legal documents and correspondence, filing documents with various courts, as well as telephone communications with clients and business contacts, file maintenance, substantial data entry, and other tasks as assigned.
Primary Job Responsibilities
*Proactively maintain overview of timekeepers' workload and caseload; anticipate next steps and implement follow-up procedures to ensure each task is appropriately tracked and carried through to completion.
*Track and calendar internal and litigation deadlines.
*Handle daily entry of information and documents into electronic database.
*Open new client matters and initiate conflict checks.
*Ensure all new file documentation (i.e. engagement letters, case acknowledgement, etc.) are drafted and processed in a timely manner.
*Type, proofread, format and edit correspondence, pleadings, discovery responses, and other legal documents, often with short deadlines and under pressure.
*Maintain timekeepers' calendars of meetings and events. Coordinate travel arrangements as necessary.
*File paper and electronic documents with appropriate courts and agencies and ensure proper procedures are followed and deadlines are met.
*Calendar appropriate deadlines following Oregon and Washington Court Rules
*Answer, screen, and respond to phone calls.
*Process and route incoming mail, faxes, and electronic communications. Prepare outgoing mail (including boxes/packages for shipment) for prompt delivery.
*Prepare accounting documents as required, including expense and travel reimbursement requests, and maintaining credit card receipts.
Interested candidates will have 1 or more yearsâ€™ experience as a litigation assistant, or similar. This position requires a high level of attention to detail and the ability to take charge, as well as strong skills in word processing and computer use, proficiency in MS Office Products (Word, Outlook, Excel), and the willingness to learn new software. The ideal candidate will be assertive and proactive with strong spelling, grammar, punctuation, form and style skills, a familiarity with legal terminology and procedures, and the ability to read and understand court rules and ensure compliance with judgeâ€™s individual rules and practices.
